We’ve been looking at updating the look and feel of the user interface of LeaveBooker.  Although we’ll be changing things here and there constantly, I thought I’d show you a sneak preview of the upcoming home page.

So firstly we have the updated tab design which looks so much better.  You’ll notice there’s a new tab — Settings & Admin, which contains links to Maintain Cover, Admin Tasks and Change Password.

These were very prominently displayed but needn’t have been.

The same tabs are used for the various bookings tabs that cover most of each employee’s home page.

The next part of the home page that has changed significantly is the Group Calendars dropdown that used to appear above the Tasks link, and required 3 clicks to view a calendar (first click the arrow on the dropdown, then select, then click the View Calendar button).  The new version only requires 1 click!  Take a look at it below:

Quite an improvement — I’m sure you will agree!!

This screenshot only has one group — Everyone.  If the employee belongs to more publicly visible groups, she will see these groups under Everyone.  This is a fantastic improvement in usability and you should be seeing this in the live version of LeaveBooker within the coming week.

So we’ve still been very busy behind the scenes.  Another thing to look forward to is an option to run LeaveBooker on your own server. We’re working on installation instructions and some batch files to help install dependencies and LeaveBooker’s database and website.

We have finally managed to upgrade LB to enable booking and managing leave by the hour. It has been a significant update behind the scenes — far more so than meets the eye as a user.

This evening at 19:00 to 21:00 GMT we will be performing a major upgrade to the LeaveBooker.com system to enable booking leave by the hour. This is a fundamental change to the system and therefore LeaveBooker will be down for a part or the whole of the change window.

Accrual Manager/Allowance Manager (we’re not yet sure which final name we choose) has come a long way. We are adding the ability to have a condition on each calculation, so you can have e.g. one calculation for employees who have been working for longer than 3 years, 5 years and so on.

Some companies like to to award their employees’ holiday in a pro-rated fashion.  E.g. employees earn 0.07 days of holiday for each day worked.

LeaveBooker currently stores a fixed value for allowances, so unless you update these manually (which is obviously quite laborious), it doesn’t support this….

HOWEVER, we are a short way away from launching LeaveBooker’s “accrual manager” which will allow employees to accrue leave (of any type) according to a formula you specify!  So watch this space….

Keeping Track of Anniversaries

We have added a Start Date field to the Edit Person page of LeaveBooker which stores the date the employee started working at your company.  It’s an optional field and at the moment, its sole purpose is to make it easier for you to see when an employee’s employement anniversary is coming up.

A number of customers have requested such functionality and we will plan to expand its usage in the future (e.g. you could get an e-mail on the day of someone’s anniversary, allowing you to check their leave allowances).

Managing a Mobile Workforce

So you’ve got a team that doesn’t sit in the same room, the same building or even the same town (or country!). How does Tom, the office-based web designer know if Ted, the programmer who occasionally works from home, is at work, on holiday, off ill or on a training course? How about the rest of his team that also works flexibly? James calls in sick. How much time does Team Manager Sarah need to record James’ absence, and ensure that everyone knows where everyone else is?

If you’re using the correct tools, hardly any time! If you’re not using the correct tools, quite a lot of admin is involved!

The above scenario is becoming more and more common in this day and age, and flexible working is making it a more time-consuming task to manage even small teams. Add up the time spent on managing this and it takes a decent slice out of your managers’ typical day. Considering they’re paid more, it’s hardly a good use of their time!

There are a few common approaches to tackle this calamity. One of the crudest is sending out dozens of e-mails about everyone’s whereabouts which each team member needs to read and remember. The next stage would probably be sharing calendars in your calendar application. But in its most basic form, this means having to open each person’s calendar to check their whereabouts. Then there is the option of a group calendar. The problem of course is that it still requires a fair amount of maintenance.

A more sensible approach is to have an integrated solution. A solution where, as soon as someone books vacation, it automatically appears in the group calendar. When James calls in sick, the manager marks him as absent and that too shows immediately in the group calendar. Of course, it would also be great if the same system kept track of everyone’s usage of their holiday allowance, number of sick days and so on for the HR administrator to report on. And wouldn’t it be great if those bookings appeared in Outlook too?

You can quite clearly see the benefits of an integrated approach for managing your workforce. Even if they’re not mobile, just being able to open a single calendar that doesn’t take forever to maintain, is a significant time saving and something that lets everyone get on with what they’re doing.

There are a number of leave booking/management solutions on the market. Some of them focus purely on leave (holiday, sick, maternity, etc.) while others help with knowing everyone’s whereabouts. When looking for a leave management system, look for one that has the following attributes:

  • It should allow you to choose which leave types you need and add more for whatever you want to keep track of. Not only vacation and sick, but also “working from home” or “working from site A”, “Training” and so on.
  • Is able to deal with your companies’ allowance rules (maybe you give each employee a number of personal days from which all their sick days and vacation come. Maybe you just have an allowance for leave days).
  • It should allow employees to belong to groups (and view groups’ whereabouts) that don’t necessarily align with the organisational structure, but allow for cross-functional project teams. This lets an employee know the whereabouts of all those who are relevant to him but may not be in his team.
  • It should have the reports that tell you what you want to know.

So bear these criteria in mind when evaluating the various leave booking and tracking systems on the market. Without question, a leave tracking system saves heaps of admin time and reduces the risk of human errors in calculating how many days someone has left.

Integrating LeaveBooker with other Calendars

I got a request from one of our users for a facility to integrate LeaveBooker’s group calendars into their own calendar (which happened to be Thunderbird’s Lightning plugin). This got me thinking and looking into the alternatives. And I think I’ve come up with a fairly clever solution that will give us great interoperability. And that is to use Google Calendars as an intermediate step between LeaveBooker and Outlook/Thunderbird/Lotus Notes/iCal/etc, something that on its own would take some doing.

We’ve already got a test application writing all-day calendar entries to a Google Calendar. Some more testing is still needed, but then we can look at building in a scheduled job to update peoples’ Google calendars. Because this will involve some extra server resources, it’s likely this will form part of an enterprise edition of LeaveBooker.

Anyway, watch this space. This is an exciting update and should be useful to many of you.

Track Working from Home

Working from home is becoming more common, and it’s useful to keep track of this and give other people in the team visibility of this. LeaveBooker.com makes tracking working from home a breeze.  Simply add a new leave type (with no allowance generally, unless you want to limit your staff’s annual usage), and your employees can start booking days to work from home. The group calendar will show who’s working from home so that everyone can be aware of their colleagues’ whereabouts.

Working from home is not the only possibility — think about training, travel and working off-site. It’s great for geographically dispersed teams or a mobile workforce.
